Send Paige documents to HubSpot with Zapier
Build the Zap that watches Paige's SFTP export folder, finds the HubSpot contact or company, uploads the PDF to HubSpot Files, and logs a note on the record with Paige's extracted details and the file attached.
Before you begin
- A HubSpot account and a user who can upload files and create notes
- A paid Zapier plan that includes the SFTP connector
- An SFTP server Paige can reach, with a folder for this scan job
- A Paige scan job whose document type has a field that identifies the record (an email address, company name, or deal name)
At the end of this guide, every document Paige finishes shows up in HubSpot within minutes as a note on the right contact, company, or deal — with the extracted details in the note body and the PDF attached from HubSpot Files.
The Zap is: SFTP trigger → keep only the data file → read the values → find the record → upload the PDF to Files → create a note engagement on the record with the file.
Step 1 — Point Paige at your SFTP server
In Paige, open Settings (the gear at the bottom of the left menu — administrators only), pick the scan job, and choose Export.
Click the FTP card. Enter the FTP Address, Port
22, Username, Password, and in FTP Folder Path a folder for this scan job, such as/paige/agreements.Click Test Connection. What you should see:
FTP connection successful!Connect —Connected to FTP Server!and a green Connected label.Turn on Enable Auto Export. Under Auto Export Settings, pick the document type under Document Types, set Auto Field Entry Complete to Yes, and set Human Reviewed to Reviewed if a person should check the values first. Click Save.
Open port 22 on your firewall to Paige's address ranges — Outbound IP ranges for firewall allow-lists.
Step 2 — Build the Zap
Trigger: SFTP by Zapier → New or Updated File (connection: Host, Username, Port Number 22, Password), folder = the scan job's folder.
Filter by Zapier: File Name (Text) Ends with

HubSpot → Find Contact (or Find Company / Find Deal) using the identifying Paige field — an email address is the most reliable for contacts. Turn on create-if-not-found if new people should become contacts.
SFTP by Zapier → Download File, path = the folder plus
pdf_file.HubSpot → Upload File. Folder: a HubSpot Files folder for scanned documents; Filename: a name built from Paige fields (

Step 3 — Test it
Process one document through the scan job in Paige (review it if you required review) and wait for the export.
Check the Zap's run history: one run, every step green.
Open the record in HubSpot. What you should see: a note on the timeline with the document's details and the PDF attached; the file also in Files under the folder you chose.
When it doesn't work
| Symptom | Where to look |

| The Zap never runs | Wrong folder, or a subfolder. |
| Runs four times per document | The .json filter is missing. |
| Find Contact finds nothing | The identifying field is empty or differs from HubSpot's value. Use email where possible; have Paige's reviewer check it. |
| Upload File fails | The folder doesn't exist or the file exceeds HubSpot's size limit. |
| Note created without the attachment | The file ID from Upload File wasn't mapped into the engagement's attachments. |
| Nothing arrives from Paige | Auto-export criteria aren't met, or the document was processed before you enabled auto export. Export once from the Documents page with Export and tick FTP. |
