# Set up scan jobs

Create a scan job with the five-step Scan Job Setup wizard — name, capture sources, separation, document types, and people — then connect an export destination so processed documents flow out automatically.

**At the end of this guide you'll have a working scan job: documents come in by scanner or email, get separated and classified, and leave automatically through the export destination you connected — no schedules to manage, because Paige processes continuously.**

A scan job is Paige's unit of configuration: one combination of capture sources, separation rules, document types, and people. Keep one job per kind of work — vendor invoices and HR onboarding packets belong in different jobs, not one job with double the document types.

## Create the job

1. In the top bar, click the current scan job name (the scan-job selector) and choose **Add a new scan job**. The **Scan Job Setup** wizard opens.
   
   > note: Brand-new accounts with no scan jobs yet land in this same wizard automatically — there's nothing to find.

2. Work through the five steps — **General**, **Capture**, **Separation**, **Document Types**, **Users** — with **Next** and **Previous**, then **Finish Setup**.

### Step 1 — General: name it for the person scanning

Enter a **Scan Job Name**. The wizard's own examples are the standard to hit — "AP - Vendor Invoices", "Insurance Claims 2024", "Project Falcon Contracts" — and its advice is right: make it easily identifiable, include the purpose, keep it short, and group related jobs with similar names. The name's real audience is the person at the scanner picking this job out of a list of look-alikes.

### Step 2 — Capture: how documents arrive

- **Manual Scanning** is always on — people can scan directly from desktop scanners and multifunction devices.
- **Email Capture** is the switch to consider: enter a unique prefix, and Paige creates an email address it monitors — every attachment sent there is processed into this job. Three refinements sit under it: **Process email message body as a document**, **Process HTML attachments**, and **Allow document separation within each attachment**.

### Step 3 — Separation: where one document ends and the next begins

Separation methods determine how a stack of pages becomes individual documents. **AI Separation** lets AI identify the start and stop of documents; alternatives include **Barcode Separation**, **Single Page**, and **File Boundaries** (each uploaded file is one document). Pick what matches how the paper actually arrives — a stack of one-page remittances wants **Single Page**, not AI. ### Step 4 — Document Types: what the documents are

Add the types this job will receive — from the preconfigured library, built by hand, or detected from sample documents. This step is its own discipline; [Teach Paige to identify document types](/paige/document-processing/teach-paige-to-identify-document-types) covers doing it well.

### Step 5 — Users: who does what

Add people and give each a role. The roles are precise:

| Role | What the wizard says it can do |
| --- | --- |
| **Scan Job Manager** | "Can create and modify scan jobs, and has full access to all features." |
| **Scanner Operator** | "Can perform scanning, quality control, indexing, and exporting within existing scan jobs." |
| **Data Entry Specialist** | "Limited to indexing documents only, with no access to other features." |

Most jobs need one manager and a few operators; reserve Data Entry Specialist for people who should see nothing but the indexing screen.

## Connect where documents go

The wizard ends at people — the export destination is configured on the job afterward:

1. Open **Settings** (the gear at the bottom of the left menu — administrators only), pick the scan job, and choose **Export**.

2. Connect a destination — **Download**, **Nucleus One**, **Content Central**, or **FTP Server**. A connected card shows a **Connected** chip.

3. Turn on **Enable Auto Export** and set the criteria in **Auto Export Settings**: which **Document Types** qualify, whether to wait for **Human Reviewed** documents, and whether **Auto Field Entry Complete** is required. Documents matching the criteria export automatically to the connected destinations.

> **NOTE:** There is no schedule to set anywhere — Paige processes and exports continuously as documents qualify. ## Changing the job later

Everything the wizard set lives under **Settings** > the scan job, in sub-pages (**General**, **Capture**, **Processing**, **Separation**, **Document Types**, **Export**, **Users**, **Advanced**). The **General** page has a **Save Settings** button; the other pages save as you change them. Deleting the job is the trash icon at the bottom of that menu, with a confirmation — deletion is not the way to pause a job.

**Success check:** scan or email one test document. It should appear in **Batches**, come out as a correctly separated document of the right type, and — with auto export on and its criteria met — arrive at your destination without anyone touching it.
