Fill other fields from the same list row

Once Paige matches one field, such as Vendor Name, to a row in your list, it can copy other columns of that row, such as Vendor Number or GL Code, into other fields. Set it up from the field, from a standardized field, or from Lists & Standardization, and choose what happens when no row matches.

Before you begin

  • A company admin login in Paige (only company admins see the Settings gear)
  • A list whose file has the columns you want to copy, for example Vendor Name, Vendor Number, and GL Code (see Standardize a field with an approved list)
  • A field in the document type for each value you want filled, for example Vendor Number

At the end of this guide, when Paige identifies a document's vendor it also fills that vendor's number, GL code, or any other column from your list, so nobody types them and your export carries the IDs your accounting system needs.

Take a vendor list with three columns: Vendor Name, Vendor Number, and GL Code. Paige reads the vendor's name on the invoice and finds that vendor's row in the list. The vendor number and GL code usually aren't printed on the invoice, so Paige copies them from the same row into the Vendor Number and GL Code fields.

How it works

  • One field finds the row. This is the matching field, for example Vendor Name. Paige compares its value with the list.
  • Other fields copy from that row. Each filled field takes a different column of the matched row, for example Vendor Number.
  • The filled field runs after the matching field, so it always uses the matching field's value from the same document.
  • When no row matches, the filled field follows its no-match choice: keep the value AI read, or stay blank.

A field is filled one way: either standardized with a list, or filled from another field. Choosing one replaces the other.

Before you start

  • The list's file must include the column you want to copy. If it doesn't, update the file with Replace file… in Lists & Standardization, as described under "Manage your lists" in Standardize a field with an approved list.
  • A column set up as other spellings for the list isn't offered as a column to copy. If you need it, remove it from Other spellings we should accept first.
  • The document type needs a field to receive each value. Add one with Add Field at the bottom of the Fields list if it doesn't exist yet.

Set it up on the field you want filled

  1. Open Settings (the gear at the bottom of the left menu). Under Scan Jobs, select the scan job.

  1. Choose Document Types, then click the pencil (Edit Document Type) on the document type.

  1. In Fields, select the field you want filled, for example Vendor Number.

  1. Expand More ways to fill this field. Under Fill this field from another field ("Use a value Paige already found to look up this one."), click Set this up.

    If the field is already standardized, Paige asks whether to fill it from another field instead, because that replaces its standardization. Click Switch to continue.

  1. Under Fill it from this list, choose the list and column to copy. Each choice names a list and one of its columns, for example the Vendor Number column of your vendor list.

  1. Next to If Paige cannot identify one matching row: (it appears once you choose a list), choose Use the AI value or Leave the field blank. This choice applies wherever this fill is used, in every document type.

  1. Under Lookup using field, choose the matching field, for example Vendor Name.

    What you should see: a message that the field will be filled from the same row. The settings fold into one sentence, for example "Vendor Number is filled from the same row as Vendor Name. If no row matches, Paige keeps the value AI found.", with a line under it starting Runs after and the matching field's name.

  1. To test it, click Change on that sentence, then Try a value. Type a value as it would appear in the matching field and click Run test.

    What you should see: Match found: with the matched value and the value that would fill your field, and The matched row with every column of that row.

  1. Click OK to save the document type.

What you should see: in the Fields list, the field carries a Filled from another field tag.

Important

Click OK to keep the fill. Cancel undoes it along with your other changes to the document type.

Or: fill straight from a standardized field

When a field is standardized with a list whose file has more columns, its details panel offers to use them. It reads, for example, "This file also has Vendor Number and GL Code. Once Paige matches Vendor Name, it can fill other fields from the same row."

  1. Select the standardized field, for example Vendor Name, in Fields.

  2. In that panel, pick the column to copy, then pick the field it fills under Choose a field.

  3. Click Fill field (Fill column for a line-items column). Repeat for each column you want.

  4. Click OK to save the document type.

Or: set it up from Lists & Standardization

Use this route to add the same fill to several document types without opening each one.

  1. Open Settings and choose Lists & Standardization. Select the list.

  2. Click Add to a field… and choose Fill a field from another column.

  3. Pick the Column to copy, the Scan job, and the Document type.

  4. Pick the Match using field (Paige suggests one when a field in that document type is already standardized with this list), then the Field to fill.

  5. Click Add.

What you should see: a new row under Where this list is used whose result reads Fills followed by the field name and the column it copies. Changes on this page are saved right away; there's no OK to click.

How matching works for a fill

  • The list's settings carry over. A fill matches the same way its list does: a Names and text list allows small differences, and a Codes and identifiers list needs every character to match. The fill's settings on the field show which applies: Small differences are allowed or Every character must match. To change it, change the list's kind, as described under "Choose how strict matching is" in Standardize a field with an approved list.
  • Fills listed on their own. A fill that appears under Lists as its own entry, tagged Fills another field, has its own setting. Select it and answer Should Paige allow small differences when matching Vendor Name? with No - match every character or Yes - allow small differences.
  • Ties. When several rows could match, the filled field has its own tie-breaker line, starting No tie-breakers., that works the same way as on a standardized field. See "Break ties when several rows match" in Standardize a field with an approved list.
Note

Standardize the matching field with the same list too. Then the exported vendor name is your list's spelling, and it agrees with the number filled beside it.

Line items

A column of a line-items field can be filled from another column of the same row. In Line Item Columns, under the column you want filled, expand More ways to fill this column, then under Fill this column from another column click Set this up. Choose the list under Fill it from this list and the matching column under Lookup using column. For example, fill each line's GL code from its item number.

Turn a fill off

  • On the field: click Change on the line that says the field is filled from the same row, then click Stop filling from another field. Click OK to save the document type.
  • In Lists & Standardization: select the list, find the row under Where this list is used, click its trash icon (or Remove), and confirm with Stop.
Note

The Open in Lists & Standardization link in the fill's settings leaves the document type, and unsaved changes to it are lost. Save the document type with OK before you use it.

When it doesn't work
